Event Management - a way to show “We care!”


On 8th of March, 2010, PROTON business school conducted an Expert Guest Session on the topic ‘Event Management’. The eminent guest was Mr. Mohit Bhargava who is the Director of Fusion Event Pvt. Ltd., Indore. He shared his views on how the entire process of managing an event takes place and what does one need to make it a hit.

He started the session by explaining the 5 Ws of starting managing an event i.e. what, when, who, where and why, which according to Mr. Bhargava were the most important questions to be answered before the conceptualization of an event takes place. He stated that one needs to understand the power of media as it is a panacea for any kind of marketing or promotion of a brand.

 He expertly talked about the key steps involved in event management : 
1.  Event conceptualization
2.  Venue identification
3.  Event planning
4.  Budgeting
5.  Human resources
6.  Marketing the event/procuring sponsorships and
7.  Implementing/ execution 

Out of these, planning is the stage which requires great minds and strategies as a backbone for the entire event taking place. It is really important to know your current need of organizing that particular event, anticipating the competition already prevailing in the market and more essentially, what benefits are people going to get out of that event.

But event management is not an easy job as it might sound to some people. It requires great skills and ability of negotiation, planning, persuasion, coordination, implementation and budgeting. He said, “In all the events that my team and I have organized so far, it was necessary to take a minimum margin of 5-15% on the actual budget already being set, as there are chances of changes at the last moment. Such changes could be , modification in the stage set up and entry gates or even tightening of the security.”

He justified each point by discussing three of his best experiences of managing events. The three case studies were on ‘Dabur Chyawanprash- super champs’, ‘Baja Sae,’ India and ‘Dance India Dance’ auditions. He showed the Protons some of the pictures captured by him to make them aware of how all these three events actually took place after great efforts and finally became a success story.

At last the session made the Protons realize that Event Management is not a cake walk but there lies intricate execution of ideas and strategies and has immense opportunities for growth.

This was indeed an insightful session which was well received by the Protons.
